A Brief Overview
The incumbent is responsible for providing executive and marketing support to the assigned region and High Net Worth Team.
What you will do
• Manage travel related aspects, including but not limited to travel booking, building itineraries and agendas, tracking executive’s travel documents and entry visa requirements; monitoring any necessary inbound/outbound quarantine requirements, to ensure the travel arrangements are compliant to the local/Global travel policy and following proper approval procedures.
• Coordinate internal and external events, including providing onsite support, organizing webinars, sourcing giveaways for events and coordinate yearend/festive client gifts distribution.
• Schedule meetings (both internal and external) as required to ensure executives’ calendars are up-to-date and no meeting conflicts.
• Organize client meetings, set up all logistic arrangements and minutes taking for meetings.
• Handle incoming routine and/or confidential correspondence with professional manner and/or redirect as appropriate.
• Prepare letters, presentation files, reports for meetings and other documents, including but not limited to expense reimbursement reports, client/visitor reports and regular integrity review.
• Maintain and update fling systems and company database.
• Work closely with members of the assigned marketing team and HNW Team and peer EAs to provide backup support
• Ready to take up any ad hoc assignment as and when required.
Qualifications
• College or University education and/or equivalent training required
• 7+ Years relevant experience required
• Excellent command in spoken and written English required
• Strong communication and interpersonal skills required
• Multi-tasking, independent, able to work under pressure and prioritize under tight deadlines required
• Attention to details, maintain discretion and confidentiality in handling sensitive information required
• Proficient in computer skills, especially MS Word, Excel and PowerPoint required
• Self-motivated and good team player required
• Be flexible to work outside of regular business hours, when required required
